The Mail Manager allows you to capture an unlimited amount of contacts, group your contacts into different segments, create and send e-mail campaigns to these guest segments and to send sequences of pre-written pre-arrival and post-departure e-mails.

An Introduction to the Mail Manager:

The Mail Manager allows you to capture an unlimited amount of contacts, group your contacts into different segments, create and send e-mail campaigns to these guest segments and to send sequences of pre-written pre-arrival and post-departure e-mails. All e-mails are plain text e-mails personalized with the guests name and a greeting you choose. Rocketseed's branded e-mail solution can be used in conjunction with the Mail Manager.

How does the Mail Manager work:

  1. Add at least one guest segment to your account. You can later add additional guest segments. Segments are ideal to separate your guests into groups such as individual, corporate, travel agent and tour operator.
  2. Add your guests and assign them to the most appropriate segment (an import option from Excel is also available).
  3. Write a message (this is as easy as writing an e-mail).
  4. Set-up your outgoing server (this works in the same way as you would set-up and e-mail account on your computer).
  5. Select the message you want to send, select the segment you want to send the message to, select the profile you want to use to send the e-mail from and click on "Send Messages". Your messages will now be sent to all the addresses assigned to the segment you have chosen.

Pre-arrival E-mail Sequences

The Mail Manager allows you to write sequences of pre-arrival e-mails, which will be sent automatically to your guests in the specified intervals. If you have set up a sequence of pre-arrival e-mails, let's say in 7 day intervals, the Mail Manager will check for any new guest you have added to the system and will automatically send the e-mails until the check-in date you have entered for this guest has arrived. This is a great and easy way to provide your guests with additional information about your location and offer prior to their arrival; include other services for which you earn commission and you might end up selling much more than if you wait until a guest has arrived. You can set the intervals for pre-arrival and post-departure e-mails for each e-mail separate.

Post-departure E-mail Sequences

The Mail Manager allows you to write sequences of post departure e-mails, which will be sent automatically to your guests in the specified intervals. 30 days after the check-in date, the Mail Manager will automatically start sending your post-departure e-mails in the specified intervals. Let's say your intervals are 1 month, than your guest will receive every month an e-mail from you until all post-departure e-mails have been sent. This is a great and easy way of staying in touch with your guests. Include a link to your upcoming events page and to your current specials on your website or a discount coupon for friends and family and you can be sure that your e-mails will make the rounds and bring more traffic to your website. You can set the intervals for pre-arrival and post-departure e-mails for each e-mail separate. 

What are the advantages of the Mail Manager:

  • The Mail Manager is extremely easy to use (in fact as easy as writing a normal e-mail), therefore, you do not need to rely on anyone else to manage your e-mail campaigns.
  • All e-mails send by the Mail Manager are personalized with your guests name and you can even choose a suitable greeting for each guest, this makes the e-mail look like you wrote it personaly only for this guest, thus increasing the open rate of your e-mail campaign.
  • All e-mails send by the Mail Manager are plain text; they look like they are ordinary e-mails written by you and because they don't include images, they are easy to read, are not classified as spam and thus have a much higher open rate.
  • The Mail Manager allows you to send sequences of pre-arrival and post-departure e-mails.
  • The Mail Manager works in conjunction with branded e-mails, allowing you to use your corporate branding to customize the top banner and signature.
  • You can insert a simple form on your website to allow visitors to subscribe to your mailing list.
  • The greeting and the guest's name as well as your customized e-mail signature is automatically added to each e-mail you send out; all you have to write is the body of the e-mail.
  • Each e-mail includes a "Forward to friend" link.
  • Each e-mail you send out is CAN-SPAM compliant and automatically includes a one-click unsubscribe. You will be able to see who has unsubscribed.

To use the Mail Manager, you will not need your webmaster or any design skills; simply add your contacts, write your campaigns and click on send. It's as easy as sending an e-mail, just that this one will go to all your guests personalized with their name!

The Mail Manager is operated under the Terms & Conditions and Acceptable Usage Policy of Tourism Marketing SA. The Mail Manager may only be used to send permission based e-mails to your guests; the entry of the name of the guest together with the e-mail address is mandatory and is used to personalize all e-mails.

A brief case study

Juliet owns a Guest House with a Wellness Spa in a coastal town in the Western Cape. Her guests are made up of a mixture of local and international holiday makers as well as repeat visitors from the greater Cape Town area who make use mainly of the Spa combined with a one or two night stay over the weekend.
