Guest Centre - Reservation and Guest Management System
Guest Centre is ideal for small to medium size establishments, owners of just one property and owners and agents who manage several properties.

Reservation Calendar
Guest Centre offers you an easy to manage online reservation calendar; if you have several properties or establishments, you can either view each in a separate calendar or you can view all rooms / units in all establishments in one calendar.

Online Enquiry Form
With an easy to implement "Enquiries" link or quick enquiry form that integrates fully into your own website, you can direct visitors from your website or any other website to your online enquiry form; all data collected is immediately available in the Guest Centre System.

Make Offers
Once you have received an online enquiry, you can easily make an offer to your guests by simply completing the online quotation. Your guests will receive a notification that you have made an offer and can view and accept or decline the offer online.

Telephone, E-mail and Walk-in Enquiries
You can of course add reservations directly into the system, send a quotation or booking confirmation to your guests, who then can confirm your offer, decline it or ask a message.

Online Bookings
You can choose whether you only want to accept online enquiries or also offer your guests the possibility to check availability and book online. In this case, guests are taking to a payment page where they can choose between different payment options, including credit card, instant online banking (the transfer happens instantly and the booking is confirmed immediately), or by off-line bank transfer.

Payment Options for Corporate Clients and Travel Agents
For your corporate clients and travel agents, we have integrated an option that allows them to automatically generate an invoice or to confirm a reservation by uploading a voucher.

Payment Gateway
Guest Centre functions as an online credit card facility, allowing you to accept credit cards at your establishment. You can make any payment, independent from the actual amount of a reservation, which is ideal for charging of any additional services consumed during the stay of a guest.

Establishments
With one user account, you can load as many establishments as you would like to. The master user can set-up additional users for each establishment, with access limited to the specifif establishment. This is ideal for owners, managers and agents with several properties where the owner / reception of each property requires access to the same reservation calendar with all functionalities.

Rooms
You can set-up an unlimited number of rooms and you can decide for each room individual whether you want to make the room public or not. If a room is not public, it will still be available in your reservation calendar, but will not display online.

Seasons
You can define as many seasons as you would like to.

Rates
Two rates models are available for you to choose from: rates per unit / room or rates per person, whereas you will be able to define single rates, rates per person (for double occupancy) and a rate for additional persons in a unit / room. If your establishment has a large number of rooms of the same type, you can assign the rates from a "master room" to all other rooms with the same rates, this way, you will have to enter rates only once for all rooms of the same type.

Minimum Stays
You can define minimum stays for each room in each season. You can automatically have the minimum stay removed X number of nights before the date of arrival, allowing you to sell off distressed inventory on a last minute basis.

Discounts
You can define discounts based on 3 stages of number of nights, ie bookings of 7 nights, 14 nights, and 21 nights, whereas you can either set a certain percentage for each category or define a certain number of free nights, ie for stays of 7 nights, you can set 1 free night and the system will calculate only 6 nights as the total cost of the stay.

Loyalty Discount
Guest Centre allows you to set a loyalty discount in percentage per guest, which is ideal for repeat business, such as corporate travellers, travel agents and tour operators. When the guest returns to your website to make an enquiry or online booking, the guest will be greated with a personalized message informing the guest of the allocated discount, which will automatically calculated by the sytem.

Guest Managemenet
Each guest has a provifile, which allows you to add additional information, such as an image, invoice address, additional e-mail addresses if the person making the booking is not the guest, as well as preferences. The system will show you for each guest the guest's ratings of previous stays as well as a list of all previous bookings made by this guest. Guest can be grouped into segments (individual, corporate, travel agent & tour operator) and you can assign a status to each guest, ie VIP, Regular, Local, International and even block guests from making reservations with your establishment. If you receive a new enquiry, you will immediately be informed of the group and status of a repeat visitor.

Newsletter Function
Guest Centre allows you to sent personalized e-mail campaigns to contacts in your reservation system. You can either send a newsletter to all contacts or your can choose to send the newsletter only to a certain segment (individual travelers, corporate, travel agents and tour operators) and further define your target group using the status you have assigned to each client (ie VIP, friends, local, international, etc.).

E-mail Notifications
Guest Center will send e-mail notifications of new enquiries and bookings, messages received and all other online actions to you and the guest. In case of offers waiting for confirmation by the guest, the system will sent a reminder to the guest before the offer expires. The system will also send a reminder a set number of days prior to the arrival of the guest, which includes a welcome message, your address, contact details and directions.

Stay Reviews
A set number of night after the guest has left, the system will send a "thank you" message to the guest, with an invitation to rate the stay. You will be notified of any new ratings and will be able to view the details in the system and decide whether you want to publish the review or not. An easy to implement widget will allow you to post the reviews to your own website or any other website. Reviews can only be added by guests who have received an invitation, ie actually stayed with you, so you don't need to worry about spam or any "not welcome" messages being posted on your review page.

Rates Display
An easy to implement rates widget will allow you to post the rates on your own or any other website straight out of Guest Centre. This will allow you to easily manage and update your rates any time by yourself without of the need of a content management system.

Accounting
While payments received via credit card or instand bank transfer are automatically recorded by the system, you can enter any other payments received by cash, cheque or bank transfer into the system and view a list of all payments, total booking value, outstanding payments and overdue payments per month.

Reports
Guest Centre will provide you with various reports, including payments, booking value, outstanding accounts, occupancy, review ratings, guests, etc. for easy viewing and download.

Customization
All pages of the Guest Centre system accessed by a guest are branded with a banner displaying your company logo and images (750 x 120 pixel).
